Hours: 9.30am-2.30pm 3 or 4 days per week

Our client is looking for a Personal Assistant/Administrator to help to support the company Directors and in performing their daily tasks. You work very closely with all members of the team to assist them in the prioritisation and management of their time. Mainly supporting in business affairs but on occasion personal errands and arrangements will need to be made. The successful candidate will be working closely with 2 Directors out of the Milton Keynes office, as well as liaising with the wider team in London.

Responsibilities

  • To be reliable, flexible and efficient - willing to support the team in all matters of business.
  • Formatting documents, utilising Word, Excel & Powerpoint and adobe.
  • Answering the phone, taking messages and enquiries, and passing them on to the relevant team member.
  • Ensuring the office is fully stocked with stationary and other amenities.
  • Being the first point of contact for the team regarding IT issues.
  • Making refreshments for meetings and managing the meeting room booking system.
  • Updating various sites and systems.
  • Booking restaurants for all team members upon request, informing them of any cancellation policies.
  • Booking travel/hotels etc.
  • Basic diary management.
  • Keeping the office tidy and presentable at all times.
  • Being the first point of contact for all guests of the company arriving at the office.
  • You may be asked to take notes at meetings, preparing the minutes and subsequently distributing to all participants.
  • Liaising with other members of staff and external parties such as clients and customers.
  • Proof reading documents and brochures.
  • Process expenses for your immediate team.
  • Ad-hoc duties.
