To provide a reception service to all customers, contractors, and colleagues in line with our Service Level Agreement. Work with the management team and other team members to provide a full reception service.

Allocation of accommodation

Be a user of the "Room Service" booking system and will ensure that it is used to the maximum advantage of the business and our student customers
Maintain records on Room Service accurately, especially with regard for the checking in and out of residents
Use the Kinetics vacation booking system during vacation periods for a smooth check in of vacation residents and other summer business
Follow Standard Operating procedures at all times of the year to provide a smooth move in for all customers, maintaining a consistent approach to check in of all new student residents

Post and Parcels

Be responsible for the efficient receipt, recording, sorting and delivery of all post and parcels for all residents, and staff
Supervise a team of post assistants to ensure that this service is delivered efficiently
Assist with effective scheduling of shift patterns and leave to ensure adequate cover is provided at all time to provide the post and parcel delivery as set out in the Service Level Agreement
Ensure that the working environment is properly maintained and kept tidy at all times

Reception and General Office Duties

Provide reception services in absence of Receptionists
Provide a professional, courteous and efficient response to all visitors to the reception desk
Respond to all communications received professionally and efficiently keeping within Service Level Agreement response times
Signing all visitors, and contractors onto site ensuring the correct documents are checked, issued, keys are signed for and returned
Deal with telephone queries, and if necessary pass on to other relevant person(s) to deal with

Administration

Maintain and update various records and registers both manual and computerized as required
Keep up to date on bookings, arrivals, and departures on Kinetics for the vacation period
Assist with room checks within Halls of Residence when required during the course of the year, to include post-occupation and pre-occupation check of rooms
Maintain accurate records of all student correspondence
Take part in open days which will involve weekend working
Attend meetings as required and take minutes where necessary

Customer Service

To provide excellent customer service directly, via the Reception in liaison with other UPP departments and the University in line with Company objectives and particular SLAs
To build relationships with other UPP sites and other departments as required

General

Identify improvement opportunities for the site and work in line with the Company ISO 9001, ISO14001 and OHSAS18001 commitments ensuring compliance and service excellence is achieved
Undertake training as required
Be responsible for signing out for, securely maintaining and returning safely, items such as keys, swipe cards and door access equipment
Be prepared to work additional hours as and when the need arises, especially during the main student arrival and departure weekends and Open Days
Be flexible in providing cover at other Halls, as required
First Aid - to undertake appointed person responsibilities, if required
Other duties as commensurate with the post

You must cooperate with UPP on health and safety matters and comply with all UPP and local rules, and not interfere with or misuse anything provided for health, safety and welfare

Supervision

The post holder will report to the Front of House Supervisor who will provide training, supervision and guidance

Other

Undertake training as required
Be prepared to work as and when the need arises, especially during the busy periods at the start of each academic term or for emergency situations

Person Specification

Skills, Experience, Education and Personal Qualities - Essential Criteria

Previous work experience within a service delivery environment
Provision of an excellent customer service
IT literate with good practical ability on MS Office (Excel, Word etc) database and spreadsheet applications
Excellent planning and organisational skills
Excellent verbal and written communication skills
Articulate and accurate
Good standard of education to at least GCSE (Grade C above) or equivalent or exceptional appropriate past work experience
Good interpersonal and communication skills
Ability to remain calm under pressure
Ability to undertake a varied workload and to prioritise tasks where necessary
Ability to work as part of a highly focused team
Ability to manage own time productively

Health and safety conscious
Ability to interpret and manipulate data
A' level, or formal qualification
Possess a current valid driving license
