Contract Type: Part-time, 15 hours p/w Thursday and Friday 7.5 hours per day
Salary: circa GBP20,500 pro rata for part time

Facilities Admin Assistant: To support the delivery of Facilities priorities by providing a professional and effective operational support service to the business, covering a wide range of Facilities tasks and processes.

The Facilities Admin Assistant is a member of a cross-skilled multi-functional Operations Team reporting to Facilities Team Leader or Site Lead, supporting delivery across a spectrum of responsibilities and has opportunity to become a subject matter expert. Multi-tasking is often a requirement and developed organisational skills are a necessity given the scale of bespoke daily demands that arise.

Control of access security is a key responsibility. The Facilities Admin Assistant, via coordination with HR, will add, amend, deactivate and delete staff authorities dependent on circumstances e.g. new starters, change in work patterns, department moves etc. Accuracy is vital to ensure security risks are mitigated. Control reporting of access authorities issued is provided to Risk Management quarterly.

Temporary access amendments are necessary for staff as approved by management in respect of staff undertaking overtime. Controlling health & safety of employees and visitors to site plays a vital role within the Facilities department, dealing with any incoming health & safety concerns or queries via the Facilities mailbox.

The Facilities Admin Assistant will support line management with a range of business changes and initiatives. This will vary dependent on demand but could include updating department floor plans, assisting with the organisation of department moves and liaising with staff onsite. Assist in the application of the Company's Driver Policy: , ensuring all Pool Vehicles are safe and legal to drive. Ensuring weekly safety checks are carried out and that MOT's are up to date.

The Facilities Admin Assistant will assist with the management of our resource booking systems, assisting and guiding staff as required to ensure the correct desk, room or parking space is booked and used

Referrals to Facilities Helpline are made initially via e mail and telephone, the Facilities Admin Assistant is responsible for providing resolution within timescales determined by priority status. It is essential you able to work as a member of a team and to be comfortable with flexible working to cover extended hours of reception responsibilities.

It may be necessary for additional flexibility during busy times.

Main Responsibilities as Facilities Admin Assistant:
Providing a professional and effect support service to the business, including but not exclusively;
*Being first point of contact for all Facilities related queries and requests, ensuring all sources of enquires are dealt with efficiently, including through compliant use of
*Ageas or 3rd party systems as required
*Supporting the implementation of the H&S Policy, for office and home-based staff, taking the required actions to ensure the DSE Database is up to date and all new staff have been issued with the correct equipment if required, following completion of a DSE assessment
*Supporting building security through operation of the building Access systems in accordance with security procedures and audit requirements
*Supporting the Business Driving Policy through control of Pool & Hire Car provision and updating of Motor Insurers Database as and when required
*Delivery of a professional and effective reception service, including the redirection of calls via the switchboard and face to face contact with visitors
*Provide support to line manager with any other operational business requirements as required

Skills and experience you need as Facilities Admin Assistant
* Proven numeric ability - able to analyse observed numerical information and identify anomalies. Minimum of GCSE Maths pass
*Working knowledge of Microsoft Office Systems
*High standards of data entry accuracy
*Effective communicator - verbal and written
*Good questioning and listening skills
*Able to persuade and influence others
*Ability to support other team members and foster good working relationships internally and externally. Can demonstrate timely and open communication and diplomatic when dealing with others
*Good organisational and ability and confidence to use their own initiative to make judgement calls, when working alone or under pressure
*Flexible to ensure Facilities site coverage between 8am - 6pm
*Prior customer service experience
