Temporary Part-Time Administrator
We are seeking a proactive and experienced administrator to provide comprehensive support to a wonderful client in the education sector, including creating and maintaining record-keeping and accessible and complaint filing systems, as well as creating and disseminating record-keeping and best practice documents.
Please note, this is a temporary part-time position paid on a weekly PAYE basis. This post is likely to continue for 6 months and will start immediately, so sadly candidates with a lengthy notice period or unable to work 25hrs+ a week cannot be considered.
Temporary Part-Time Administrator Responsibilities
Reporting to the HR Manager, and liaising with other staff, parents, the council and committees, the Temporary Administrator's main duties will include:
Create, update and maintain processes and record keeping systems in many areas, such as policies, Health & Safety-related reports, staff files and training, display boards, website and parent communications.
Update, reduce and organise paper files for accessibility
Liaise with the Manager/Deputy and the Accountant to create processes and systems for the efficient, accurate and timely updating of attendance records, invoices, starters and leavers
Organise and monitor the main email box, dealing with routine enquiries/re-directing items and needed and flagging any urgent queries
Assist with the creation, maintenance and auditing of waiting lists, allocations, settling-in programmes and inductions
Minute meetings where needed, following up on action points as appropriate
Liaise with the Treasury team on billing and invoicing enquiries
Assist with food ordering, purchasing equipment and stock-taking
Assist with booking training courses and keeping HR informed of statutory training undertaken.
Temporary Part-Time Administrator Experience
The ideal candidate for this Temporary Part-Time Administrator will have:
Educated to A level or equivalent
Previous administrative experience in an office or educational environment
Experience of working creating and maintaining office-based record keeping systems
Excellent communication skills, both verbal and written English
Outstanding organisational skills, able to work methodically and logically
Good level of Numeracy
Excellent working knowledge of Microsoft Packages, familiarity with a variety of databases
Able to work with high levels of accuracy, with attention to detail
Ability to work unsupervised, managing own time and workload
Flexible and adaptable, able to proactively respond to changing demands and fluctuating workload
It is also desirable, though not essential, you have sound working knowledge of GDPR, Ofsted regulations, experience of IConnect or similar, and a DBS certificate (if not already cleared a check may be undertaken)
