Annual leave:    The basic annual leave entitlement in a full year is 33 days inclusive of bank holidays. Leave entitlement is pro rata where applicable. The service is closed for the Christmas and New Year period.

About this role:  

The role of Admissions Manager is a highly vital role within Orri UK. The postholder will be liaising with potential clients as a first point of contact and provide them with the support they require during the process through to intake. It is essential that the postholder is training towards or has gained a qualification in counselling and an understanding of the therapeutic environment to provide an empathetic, nurturing and encouraging manner with all clients, with the ability to appreciate and acknowledge each patient’s journey is individual.

Scope and Range of the Post

The post holder will be expected to practice within the legal and ethical framework as defined by

  • National mental health related legislation – Mental Health Act and Mental Capacity Act
  • ORRI policy, guidelines and protocols.
  • The NICE Guidelines
  • BACP and /or other relevant registration body.

Orri will provide the postholder with direct supervision and access to continuous professional development. Specialist supervision will be arranged in conjunction with the post holder.

The post holder will ensure the physical and psychological wellbeing of the client is support through their practice and relevant referrals for psychological treatments are made and monitored within their practice.

MAIN DUTIES AND RESPONSIBILITIES:  

  • With a background in counselling in a therapeutic setting, the postholder will be experienced in providing direct therapeutic support to new clients and their support network, providing first contact support via the telephone/video calls to ensure a professional, empathetic, caring and innovative approach at all times.
  • Utilizing your previous experience of Eating Disorders within a therapeutic environment, coupled with knowledge of Orri’s service, you will have the ability to talk about the Orri’s model of treatment and provide support and understanding the clients individual needs and how Orri would support clients in their recoveries.
  • To lead the admissions process adhering to Orri’s criteria for admissions, in addition to providing support to the Admissions Administrator with addition support and training as needed on the process.
  • Support the Admissions and Clinical team with intake assessment process – pre-intake and next steps meeting (experience desired but to be also trained to Orri's standards) ensuring all relevant parties are aware of key dates and any actions they need to complete.
  • Undertaking administrative tasks including GP letter writing, communication with professionals, documentation of treatment plans and internal communication.
  • Management of audits – being able to keep up to date with audit, intake tracking and (soon) managing waiting lists - should have some experience but will be trained
  • They need to be able to support the team’s needs and being available for different tasks as and when needed - this is a must 
  • To be able to support the private medical insurance processes - this would be a bonus but also trainable.  
  • The post holder will be responsible for monitoring practice of the admissions team and for providing training within the function as a integral member of the wider multidisciplinary team, participating gin the implementation of the service development.

The post-holder will be responsible for:  

Managerial  

  • The management of their own workload. 
  • Line Management of the admissions team, including managerial supervision to ensure a proactive and supportive approach to the team.
  • Be familiar with and ensure implementation of all local, regional and national policies, procedures and guidelines pertinent to all staff within area of responsibility and comply with the contents in the pursuit of the highest standards of care. 
  • The post holder needs to be experienced in support the teams needs and available for various tasks as required by the team and wider organisation.

Professional:  

  • Working towards or has obtained a professional qualification related to counselling and/or psychology.
  • Demonstrate and work with excellent attention to detail 
  • Possess strong communication skills 
  • Have an excellent standard of computer literacy 
  • Have experience of improvement and implementing systems and processes 
  • Have an active interest in problem solving and resolving inefficiencies 
  • Work with can do and approachable attitude  
  • Experience of working in a small fast paced business (preferred but not essential) 
  • Be organised and process driven  
  • Have a legal right to work in the UK 

 

EQUIPMENT & MACHINERY  

The equipment used by the post holder on a daily basis will include;  

  • Computer and associated software most notably Microsoft Office applications, Microsoft Teams, KIPU, finance systems, PMI systems  
  • Mobile phone and landline phones  

The equipment used by the post holder may also include  

  • Audio and video recording equipment 

SYSTEMS  

The post holder will develop and ensure utilisation of systems for efficient operation of the team:  

  • Dairy management  
  • Paper based and electronic documentation systems  
  • Email  
  • Local database

  • The post holder will require excellent verbal and written communication skills. 
  • The post holder will communicate with service users/carers and other health/social care professions and voluntary care providers 
  • The post holder will be required to communicate sensitive information on a frequent basis and manage potential interpersonal conflict 
  • The post holder will be expected to attend a variety of meetings to support effective communications 
  • To take an active role using interpersonal skills in establishing and maintaining relationships through day-to-day team building, promoting staff morale.  
  • The post holder will at times need to defuse potentially highly charged situations e.g. where clients or carers may express heightened level of emotion.

MOST CHALLENGING/DIFFICULT PARTS OF THE JOB  

  • Effectively balancing the demands of role with effective delivery of high-quality care.  

KNOWLEDGE, TRAINING AND EXPERIENCE REQUIRED  

  • Qualified counsellor
  • Previous experience working within a specialist therapeutic setting, preferrable with exposure to Eating Disorders.
  • Highly developed communication and negotiation skills

As a member of the multidisciplinary team the post-holder has a contribution to the generic functions of the multidisciplinary teams such as initial assessment, and group interventions. The role of the Psychologist is to provide assessment, evaluation, treatment planning, referral, care management, individual follow-up, and group therapy based on clinical evaluations of targeted populations; and to acts as a consultant and liaison to physicians and clinical staff as well as outside agencies. 
  • All clients will be cared for by a named individual who is tasked with working closely with their identified clients/carers to develop a participative, therapeutic relationship and deliver high quality mental health care in an environment where clients feel valued and where confidentiality is respected.
  • Through short to medium term case management approach, the service will provide intensive support and interventions to clients and carers prior to and following discharge, with an expectation of preventing relapse.
  • and some knowledge of eating disorders would be a bonus (can and will be trained)
