A great opportunity has arisen to join us here at Knight Frank, and we are currently seeking a Property Administrator to join our Birmingham Property Asset Management team

 

In the Property Administrator role, you will be responsible for:

  • Assisting the Office Manager with the smooth running of the office
  • Meeting and greeting guests in a polite, helpful, and confident manner
  • Answering the switchboard
  • Coordinating the completion of budget documentation and issuing to tenants
  • Coordinating client reporting
  • General administrative duties such as coordinating tenant welcome letters for new sites, keeping team paperwork updated and being responsible for all site keys, letters, minutes, and agendas
  • Issuing letters to stakeholders on behalf of the PAM fee earners
  • Tracking insurance claims across PAM’s portfolio and liaising with the insurer / FM / surveyor as necessary
  • Coordinating surveyor inspections, occupational tenant contacts, and keeping the inspection tracker updated
  • Raising quarterly management fees and ad hoc fees
  • Coordinating post received, both electronically and physically, and to respond directly where necessary
  • Tracking tenant applications and issuing acknowledgement letters
  • Ensuring that the professional image of Knight Frank is always maintained
  • Being up to date on Money Laundering regulations

 

To be successful in the Property Administrator role, you will have the following skills and experience:

  • 2 plus years in an administrative role is beneficial
  • Proficiency with Microsoft Office 365, including Word, Excel & PowerPoint
  • Ability to communicate and deal with a range of stakeholders, both face to face and on the telephone
  • Ability to prioritise tasks and manage workload efficiently
  • A flexible, self-motivated, organized, and proactive nature with the ability to adapt to a wide range of tasks
  • A keen interest in property
