About the job
This role combines learning and practical on the job training. At the end of it all, you'll have a level 3 qualification in Business Administration. You’ll be fully supported to meet the learning requirements of the qualification.

If studying in England the apprenticeship will be delivered by Lifetime Training Group who were nominated as the top training provider in 2021 by Ratemyapprenticeship.co.uk or if in Wales, by one of the Welsh Government’s nominated providers.

Job description

The role of Commercial Administration Officer is to provide administrative support to DVSA’s commercial category teams across all phases of the commercial cycle; pre-procurement/pre-market, engagement, procurement, and contract management.

This role may cover several spend Commercial categories delivering a range of products and services required or supplied by DVSA.

You will support DVSA’s adherence to the appropriate legal standard and best practise across the entire spectrum of commercial activities. To include support to contracting activities with third parties and maintaining awareness of legal (national and international), departmental and Government policy and regulations.

Responsibilities

Responsibilities include, but are not limited to:

• Providing effective and efficient administrative support to Commercial Category Managers and covering all aspects of the commercial cycle

• Establishing the relevant contractual information for tender and bid documentation for engagement with third parties, to establish formal contractual arrangements

• Supporting the procurement process and agreement and finalisation of contracts

• Compilation of regular and accurate Management Information (MI) and status reports to support the category approach

• Setting procurement projects and contracts up in our e-Procurement system (Jaggaer) and Contracts Finder, and advising P2P teams to ensure contracts are set up in SAP

• Maintenance and housekeeping of electronic contract folders and paper contract files

• Either electronically or paper filing, photocopying, word-processing, answering queries by email and MS Teams and other administrative duties, as necessary

About You

To thrive in this role, you will be committed to providing high-quality work and you will display a pro-active approach to all tasks.

You will have good attention to detail and can utilise these skills to help you when producing and reviewing commercial documents.

You will be willing to work closely with your team to support on projects and learn new skills needed to do this effectively.

You will be interested in the commercial life cycle and keen to learn how to deliver a range of products and services required or supplied by DVSA.

You will have an understanding of an administrative role within an office environment and are competent using MS Office tools such as MS Outlook, MS Word, and MS Excel.

We are seeking an individual who can pick up new skills with ease, being able to organise your time effectively and balance you work and studies.

Eligibility

To be eligible for this apprenticeship, you must:

• Be aged 18 or over
• Must hold or be willing to complete a level 2 in English and Maths
• Have the right to work in the UK
• Not be in full-time education
• Not be in receipt of funding for other learning programmes
• Have valid and eligible residency status and be resident in the UK for 3 years before the start of the apprenticeship

If you currently hold or are working towards a similar qualification of the same level or higher, then you will not be eligible to apply for this vacancy. In order to be eligible for our apprenticeship vacancy, any qualifications previously held or currently being worked towards must differ in content so that this apprenticeship provides substantial new skills.

Existing employees of DVSA in Wales would not be eligible to apply for this role.

There may be occasional travel required with this role to other DVSA locations to attend meetings.

Selection process details
