Join our team as an Executive Assistant supporting the Legal and Operations Teams of Macquarie Capital’s Principal Finance team.

This role will see you report directly to the global General Counsel of Principal Finance, and you will support the European lawyers, the European Chief Operating Officer and the operations team.

You will have experience of an office / corporate environment, have the ability to work well under pressure and manage a high workload, conflicting priorities and deadlines effectively.  You will be a positive and approachable individual with the willingness to go beyond the scope of the usual job description.  You will have excellent verbal and written communication skills and you will be proficient in the use of Office 365 products.  Legal experience or training is preferred but not essential.

Responsibilities will include supporting the legal team in the following matters:

  • coordination, execution and recording of document signings, including oversight of electronic / remote signings process and finalisation of transaction documentation
  • assist with internal process management for the approval, execution of non-disclosure agreements, release letters, reliance letters and other legal documents ancillary to investments
  • assist in production of internal documentation such as powers of attorney  and co-ordinate notary services when required
  • prepare organisational charts in power point
  • coordinate and manage invoice processing for external lawyers and other third-party vendors
  • coordinate with Information Management team, Compliance team, and other internal groups to manage the Legal and Operations teams’ electronic and physical data / document access as required
  • coordinate meetings and events for the Legal and Operations team and other internal Group and firm members and external parties
  • manage calendars, expense and travel coordination for members of the Legal and Operations teams
  • management of projects on an ad hoc basis
  • you will also work closely with the EA team to assist with the day to day running of the office

You must be able to work within a team as well as independently and efficiently in a fast-paced environment and have superior organisational skills, with a focus on continuous process improvement. 

You must be confident interacting with external clients, exercise good judgment, discretion, and flexibility in your approach; proactively anticipate the needs of the professionals you support; and be a problem solver who can multi-task with ease.
