Job description

The Maritime and Coastguard Agency (MCA) are looking for a highly organised individual to provide administrative management to the Cadet Training & Modernisation (CT&M) team. This team oversees the Cadet Training and Modernisation Programme, and this is an exciting time to be part of this high-profile programme as Programme Administrator.

The Cadet Training & Modernisation (CT&M) team is a newly established, dedicated team who purpose is to deliver on the recommendations detailed within the Maritime Skills Commission Report.

You will work closely in a small, dynamic team where you will be responsible for enabling the individual working groups and the wider Programme with direct administration support relating, but not limited to: meeting management, access and IT support, documentation, managing SharePoint filing system and providing a link / continuity between working groups.

This role will be based in the Southampton HQ. MCA supports flexible working and operates a hybrid working model between home and office for this role, giving you greater flexibility over where and when you work. Details of the arrangement will be discussed further with your line manager.

Responsibilities

Your responsibilities will include, but are not limited to:

• Servicing Meetings: Sending invitations, preparing documents, booking meeting rooms, taking minutes, capturing actions / decisions, presenting slides / presentations, distributing post meeting documents, ensuring IT setup is accessible and working, presenting standing meeting agenda items
• Document filing and administration via SharePoint, including resolving access issues in conjunction with MCA IT
• Using MS Office packages (Word, Excel, PowerPoint, Outlook) to create, edit and distribute a range of documents including communicating by email
• Attending and contributing to team meetings in the office and remotely via MS Teams

About you

We are looking for someone who is comfortable working in a fast-paced programme environment and is highly adaptable and flexible, adjusting to the requirements of the role. You will be a real self-starter, with the ability to work on your own initiative and under pressure.

Excellent organisational and time management skills are required and you will be able to manage and filter workflow as well as organise and prioritise your work to maximise productivity and achieve all deadlines.

You are able to build rapport quickly with key stakeholders both internally and externally and enjoy working collaboratively with people at all levels.

To be successful in this role you will have administration support experience including booking travel and accommodation, diary management, and maintaining systems and administration procedures.

We also require someone who has experience of organising and facilitating large, formal, and non-formal meetings and taking of minutes.
