MAIN PURPOSE OF JOB:

Reporting directly to the Finance Manager and working closely with the Business Support Team, the Senior Finance Assistant will be responsible for maintaining accurate and timely accounting records. 

The Senior Finance Assistant will have a good knowledge of bookkeeping and accounting principles, good planning and time management skills and be able to prioritise tasks appropriately. Ensuring daily, weekly and monthly finance activities are completed in a timely manner so that management & statutory reporting deadlines are met. 

 KEY RESPONSIBILITIES:

  • Processing purchase invoices, ensuring costs are accurately recorded and matched off against the supporting purchase order. Investigating and liaising with the Business Support Team where discrepancies occur. 
  • Processing weekly staff expenses and ensuring that Company Policy is adhered to. To take ownership of the Company Expenses Software.    
  • Processing and reconciliation of credit card & foreign currency card transactions.
  • Review of creditors and preparation of payments to suppliers.
  • Credit control, sending out customer statements and credit control communications.
  • Maintenance and reconciliation of the cash book. 
  • Preparation of monthly payroll adjustments for submission to External Accountants. Checking and formulating payments to employees and processing the monthly payroll journal.
  • Pension administration, liaising with External Accountants to ensure compliance with statutory regulations. 
  • Preparation, review and submission of quarterly VAT returns.
  • Assisting with Month End/Year End Accounts preparation.
  • Assisting with the preparation of the Annual Budget. 
  • Provide support in the resolution of any finance queries.
  • Ad-hoc duties as and when required.

PERSON SPECIFICATION:

  • Industry Qualified or QBE (Qualified by experience)
  • Minimum 5 years’ experience in a similar role
  • Project accounting experience would be advantageous (although training will be provided)
  • Intermediate knowledge of Sage 50 (or similar)
  • Able to work on own initiative
  • Able to work under pressure and to deadlines
  • Able to ‘step in’ for Finance Manager when absent
  • Adaptable to a changing environment 
  • Excellent communication skills
  • Working creatively with tools/software provided to ensure accuracy and efficiency in the department as a whole
  • A Team Player able to take ownership of own role and adapt to supporting others in the team where/when required
