We have an exciting opportunity for a Marketing Coordinator to join our team within Vistry Partnerships North East, at our Newcastle office. We are looking for a hardworking and enterprising person to manage the sales administration function and provide support to the Sales Manager / Regional Sales Director. You will play a key part in driving operational efficiency and helping the region deliver its sales targets. We are welcoming both part time and full time applicants for this position. Part time applicants please note a minimum of three days are required.

  • Experience of working with CRM systems and back-office systems
  • Intermediate knowledge of Outlook, Excel, Word, and PowerPoint

  • Ability to create and maintain spreadsheets and analyse data

More about the Marketing Coordinator role…

  • Data input into systems to ensure sales activities are logged accurately and in a timely manner
  • Produce daily/weekly reports in line with business requirements, checking for data integrity and accuracy
  • Check contracts and completion statements received from legal team to ensure completion funds are correct
  • Create, update, and analyse Excel spreadsheets to track performance and activities
  • Calculate commission payments on a monthly basis, distributing statements and dealing with queries so payments are made on time
  • Maintain departmental training matrix to ensure H&S compliance, issuing and monitoring sales safety device People safe and monitoring usage
  • Process invoices for payment by raising purchase orders and goods received notes from Sales teams
  • Provide administrative support to the department, organising events, meetings and managing diaries
  • Respond in a professional and timely manner to all customer and other departmental queries
  • Help to setup each project and ensure that systems are followed throughout the project
  • Collate and file all Customer Journey forms pertaining to the sales function and store these in the appropriate location.
  • Create regular social media posts for each of the sales schemes and liaise with the marketing team to ensure appropriate creative is produced for each of these.
  • Collate market research reports for each scheme to aid the Sales Manager / Regional Sales Director produce accurate information to the Regional Sales Director for sales values.
  • Help to collate monthly reports for the JV schemes tracking sales on each in the data format required.
  • Obtain costs for show home and related set ups and ensure best price.
  • Monitor the website and ensure that information is accurate and highlight to the Sales Manager / Regional Sales Director any areas where improvement can be made.
  • Assist with weekly Customer Care/ Build Sales meetings.
  • Support the Sales Manager / Regional Sales Director in producing sales figures from agents for forthcoming schemes
  • Review sales run rates and report to Sales Manager / Regional Sales Director
  • Set, agree with the Sales Manager / Regional Sales Director, and implement individual site marketing strategies. Set up and monitor listings on the North East Website and third-party portals. Work with the Sales Manager / Regional Sales Director on wider promotion of the sales function of the business unit e.g., promotion with agents, investors, etc.
  • Is seen to be innovative with marketing campaigns
  • Ensure a high level of customer service is consistently given working with a view to achieving 5* housebuilder standards.
  • Consistently meets the Company's requirements in terms of customer satisfaction, and targets in terms of service and response times
  • Ensure that all reporting lines are fully maintained and report weekly and monthly as agreed on sales performance.
